The Virtual Fax Machine is a mod_perl application that turns a central computer (the server) into a fax machine. Incoming faxes are placed in a general "inbox" and await assignment to specific users by an administrator. The server can also be used as a fax gateway, allowing anyone on the network to send faxes directly from their desktop. Key features include the search utility, image rotator (for faxes that arrive upside-down), and the pdf generator. Best of all, all faxes are electronically stored, eliminating the need for paper and toner. The application runs in any Web browser, eliminating the need to purchase expensive client software.
How it works
OVTG can (in most cases) take an old, unused computer and configure it to receive faxes. If you have more than one fax line, no problem, because as many fax lines as the server has slots for can be connected. Once configured, the computer is connected to your LAN and all users can retrieve their faxes from their desktop PC's. In addition, users can send documents to the server just as if it were another printer on the network and essentially fax right from their computer.
Incoming faxes are stored in a central inbox that's accessible only by designated fax administrators. Administrators can then examine the documents and put them into the recipient's inbox. Users can retrieve the faxes, add keywords and comments, or assign the faxes to other users. Users can also mark faxes as read, which moves them to another inbox, separate from the unread inbox. Now your users can share faxes with each other without having to make and distribute photocopies.
Utilities included with the Virtual Fax Machine include the image rotator, pdf generator, and search utility. When a fax is received, the pages are converted to jpeg images, and also placed into one pdf file. Sometimes, faxes arrive upside-down. With one click of a button, users can rotate just one jpeg image or every image associated with the fax. For easy printing, the fax can also be viewed as a pdf file and users can print any page they wish. For those users that have lots of faxes, the search utility can simplify the task of finding a particular fax amongst hundreds or thousands of documents.
Since you'll no longer need to feed paper and toner into a hungry fax machine, you won't waste precious resources on junk faxes. In fact, most users will probably not need to print very many faxes at all, so the savings could be significant. Fax administrators will save time since there's no need to get up, go to the fax machine, retrieve the paper faxes, make copies, and distribute them to the intended recipients. Administrators simply point and click from their desktop, simplifying the process considerably and saving time and money.
The Virtual Fax Machine client application runs in a Web browser, so it's possible to retrieve your faxes from anywhere on earth (provided you have an Internet connection). Users who are always on the go will no longer be delayed in getting their documents. You'll sleep better knowing your employees are always informed.
